Details for delegates giving oral presentations

Oral presentations, except for invited talks (plenary/keynotes) are of 10 min duration. Chairpersons will be instructed to keep presentations to the allotted time.

All presentations must be given by PowerPoint (Microsoft). PowerPoint presentations must be sent to Alex Kotsos (c/- Victorian Institute of Forensic Medicine, 57-83 Kavanagh St, Southbank AUSTRALIA, or preferably by e-mail to alexk@vifm.org) by November 7.

For those delegates who are under 40 years of age and wish to have their oral presentation considered for a Young Scientist award please let Alex Kotsos know when you send your presentation, or earlier if you like.

The Organizing Committee will review requests for additional audio-visual equipment other than PowerPoint. This must be done by November 1. Speakers will be notified of the availability of their requests by November 7.

Each of the free oral sessions will involve consecutive 10 minute presentations listed in the order of the program followed by about 15 min of Question time from the audience to the speakers. Each presenter must remain in the session until its completion.

Authors should ensure their slides are legible and contain a limited amount of information per slide. The Organizing Committee recommends that the presentation should be carefully prepared so that it is properly timed and of high quality. Font sizes less than 14 are not recommended.

You are requested to bring your back-up presentation on CD-ROM or floppy disc.

Our Speaker Preparation Room will be open between 08.00 and 16:00, we highly recommend to check your presentation before your presenting time. This ensures that font colour and presentation style is appropriate since changes may occur when loaded onto another PC.

If you are using a version of PowerPoint and Windows or the Mac operating system that uses Unicode (double-byte; this is common in most Asian and Middle-Eastern versions), you MUST save the presentation by choosing an English-compatible format under File...Save as...Save as type.... This may cause some fonts to be changed, depending on what special characters you have used. You may wish to save such presentations in both the "normal" Unicode format, and in the English-compatible format, and to bring both with you to the meeting.

Guidelines for Poster Presentations

Posters will be on show during the meeting in an area adjacent to the trade exhibition on the first floor of the Hilton (Strad/Hunt/Delacombe rooms).

Posters should be no larger than 1 x 1 metre. Posters prepared in A1 size (approx 600 x 850 mm) is a convenient size. Larger size posters will not be accepted.

Please ensure poster presentations use lettering that can easily be read when standing at the poster. Use large and bold lettering for the Title and immediately below this (centered) include the names of the authors and their affiliations. Highlight the presenting author. Avoid the use of too much text - dot points for results and conclusions are preferred to paragraphs covering many lines. Tables and a figure can usefully break up the poster to ensure good readability. Please headings such as Aims, Introduction, Methods, Results and Conclusions. Do not try to use too many words - this can be hard to read. Use minimum text and key words or short phrases where applicable and use colour to highlight your data/graphs/tables. Ensure writing can be easily read from 1 metre away.

You may wish to include an A4 sized version (or similar smaller size) of the poster for a handout to interested delegates. The organizing committee will organize envelopes on each poster site for delegates to leave their business cards for contact purposes.

Poster boards will be double sided. Please put your poster number on the top right corner to easily identify your poster. Ensure that your poster is attached to the board before the start of the sessions. Mr Peter McCaffrey (Coordinator, sponsors and poster displays) will assist with the necessary equipment and mounts. Convention Associates will allocate your session number to you.
Session 1 runs from Monday morning 08.30 hours to Tuesday afternoon 13.30 hours
Session 2 runs from Wednesday morning 08.30 hours to Thursday afternoon 13.30 hours.
A floor plan for each of the poster sessions will be available at the registration desk and in the display area.

Attendance at Posters
It will only necessary for the author to be present at the poster during the tea/coffee breaks and between 1300 and 1400 h on each of the two display days per session. Of course, authors may attend for longer times.

Young Scientist Award for Best Poster
For those delegates who are under 40 years of age and wish to have their poster presentation considered for a Young Scientist award please contact Alex Kotsos (alexk@vifm.org or fax +61 3 9682 7353, phone +61 3 9684 4376) before November 7.

Publication of Papers

Abstracts presented at the meeting can be submitted as: a. short papers in the Proceedings of the 41st TIAFT meeting, or
b. peer reviewed papers in a special edition of Forensic Science International, or
c. peer reviewed papers in a special edition of the Journal of Chromatography B.

Delegates should not submit papers to more than one publication medium unless there is significantly different content.

a. PROCEEDINGS OF THE 41st TIAFT MEETING

The proceedings will be available as a bound volume published about 6 months after the scientific meeting and will be sent to all delegates who attended the meeting.

Delegates who have presented a communication at the meeting as a free oral, invited oral or poster presentation are invited to prepare a short paper. The paper should include the content of data presented at the meeting and should be no more than 6 typed pages (double spacing, Times Roman, font size 12 and 2.5 cm page borders). Tables and figures can be included up to a maximum of three (total number of tables or figures). The authors' names, addresses and affiliations should be clearly indicated at the start of the paper. The paper should be organized like other scientific papers with headings such as Introduction, Methods, Results, Discussion, and Acknowledgments. Full references should be listed at the end of the paper in the "Vancouver" style.

A paper copy of the paper and an electronic image (floppy disc or CD-rom should be left in the appropriate box at the TIAFT Office on the first floor of the Hilton hotel. Late papers will not be accepted for publication unless prior arrangements have been made with Dr Jim Gerostamoulos (jimg@vifm.org).

b. SPECIAL EDITION OF FORENSIC SCIENCE INTERNATIONAL

Delegates who have presented a communication at the meeting as a free oral, invited oral or poster presentation are invited to prepare a paper for publication in a special edition of Forensic Science International.

Papers should be submitted in the style normally required by the Journal. For Forensic Science International the Guide for Authors can be found on authors.elsevier.com and then click on Author Gateway.

All submitted papers will be screened for suitable content for the Journal and will be subject to peer review as per usual Journal requirements. Suitable reviewers will be selected from an International panel including the International Advisory Committee of the meeting.

Three paper copies of the paper and an electronic image (floppy disc or CD-rom) should be left in the appropriate box at the TIAFT Office on the first floor of the Hilton hotel. Late papers will not be accepted for publication unless prior arrangements have been made with Dr Jim Gerostamoulos (jimg@vifm.org).

c. SPECIAL EDITION OF THE JOURNAL OF CHROMATOGRAPHY B

Delegates who have presented a communication at the meeting as a free oral, invited oral or poster presentation are invited to prepare a paper for publication in a special edition of Journal of Chromatography B.

Papers should be submitted in the style normally required by the Journal. For Journal of Chromatography B the Guide for Authors can be found on authors.elsevier.com then click on Author Gateway.

All submitted papers will be screened for suitable content for the Journal (must describe or review chromatographic procedures) and will be subject to peer review as per usual Journal requirements. Suitable reviewers will be selected from an International panel including the International Advisory Committee of the meeting.

Three paper copies of the paper and an electronic image (floppy disc or CD-rom) should be left in the appropriate box at the TIAFT Office on the first floor of the Hilton hotel. Late papers will not be accepted for publication unless prior arrangements have been made with Dr Jim Gerostamoulos (jimg@vifm.org).
